Terms & Conditions

Effective September 25, 2026. Updated October 22, 2026.

1. Payment & Booking

  • A 50% deposit is required to reserve your event date and rental items/services.
  • Your event date is not officially reserved until the deposit has been received.
  • The remaining 50% balance is due in full prior to delivery and setup. Disco Party Rentals reserves the right to withhold delivery, setup, or services until the balance has been paid in full.
  • Once the deposit is received, the customer confirms that they have read, understood, and agreed to these Terms & Conditions.
  • Prices, rental items, services, delivery arrangements, and other details are based on the customer’s approved order/invoice.

2. Cancellations

Because your event date and requested inventory are reserved specifically for you, cancellations are subject to the following schedule:

15+ Days Before the Event

The 50% deposit is retained. The customer may receive a credit equal to 50% of the original deposit toward a future booking.

The credit must be used within 6 months of the original event date, is subject to availability, and is not redeemable for cash.

8–14 Days Before the Event

The 50% deposit is retained. The customer may receive a credit equal to 25% of the original deposit toward a future booking.

The credit must be used within 6 months of the original event date, is subject to availability, and is not redeemable for cash.

4–7 Days Before the Event

The 50% deposit is forfeited. No refund or future-event credit will be issued.

0–3 Days Before the Event

The 50% deposit is forfeited. No refund or future-event credit will be issued.

No-Show / Failure to Provide Access

If the customer or an authorized representative is unavailable, fails to provide reasonable access to the event location, or otherwise prevents delivery, setup, or pickup from being completed, payments are non-refundable and no credit will be issued.

3. Changes & Rescheduling

  • All cancellations, date changes, quantity changes, and modifications to services must be communicated at least 72 hours before the scheduled delivery/setup time.
  • Requests made less than 72 hours before the event may not be accommodated.
  • Rescheduling is subject to availability and may be subject to additional charges.
  • A rescheduled event must generally occur within 6 months of the original event date.
  • Any non-recoverable costs already paid or committed to third-party vendors, subcontractors, venues, entertainers, or other service providers may remain the customer’s responsibility.
  • Rescheduling does not guarantee that the same inventory, services, pricing, or vendors will be available on the new date.

4. Delivery, Setup & Pickup

  • Delivery and setup times are scheduled in advance and are subject to availability.
  • The customer must provide reasonable and unobstructed access to the event location at the scheduled delivery/setup time.
  • The customer is responsible for providing accurate delivery information, including the event address, contact information, access instructions, stairs, elevators, parking restrictions, venue requirements, and any other information that may affect delivery or setup.
  • Additional charges may apply for difficult access, excessive stairs, extended setup requirements, or other circumstances that materially increase delivery or setup time.
  • Tables and chairs are delivered folded and stacked at one spot at the delivery address, unless setup is included in your order. The renter is responsible for unfolding each table and chair, locking it securely in place, and folding and restacking it for pickup. Setting up and breaking down tables and chairs is not part of delivery. If you need it, request it at least 5 days before your event and we will send a separate setup quote.
  • Tents, the dance floor, bars, and other items that require assembly are installed or placed by our crew as part of delivery.
  • Additional fees may apply for same-day pickup after 8:00 PM.
  • Tent rentals include full-day event use and complimentary overnight rental, with pickup the next day. Overtime and late-pickup charges do not apply to tents through the scheduled next-day pickup.
  • Same-day tent removal, for example when a venue, park, or HOA requires the tent to come down the same day, is available for an additional fee quoted with your order.
  • Pickup times are determined by Disco Party Rentals based on the event schedule, location, and operational availability.

5. Customer Responsibility & Damage

The customer assumes responsibility for all rented equipment, accessories, and other rental items from the time of delivery/setup until pickup or return.

The customer is responsible for the safe and proper use, care, protection, and timely return of all rented items.

The customer may be charged for items that are lost, stolen, damaged, excessively soiled, or require cleaning, repair, or replacement due to misuse, negligence, failure to properly protect the items, or other damage occurring while the items are in the customer’s possession or control.

This includes, but is not limited to:

  • Tables and chairs
  • Tents
  • Spandex table covers
  • Party equipment
  • Accessories
  • Specialty rental items

Damage, cleaning, repair, or replacement charges will be based on the reasonable cost necessary to clean, repair, restore, or replace the affected item.

6. Outdoor Events & Weather

Outdoor events are subject to weather and environmental conditions.

Disco Party Rentals reserves the right to postpone, reschedule, modify, or cancel an outdoor setup when weather or other environmental conditions create an unsafe situation for customers, guests, employees, subcontractors, equipment, or property.

If We Cancel for Safety

If Disco Party Rentals determines that a setup cannot safely proceed because of weather, such as sustained winds or gusts above safe limits for tent installation (generally above 25 mph), lightning, or a tropical storm or hurricane watch or warning for the event area, 100% of the deposit and any balance already paid will be credited toward a rescheduled event.

The rescheduled event must occur within 6 months of the original event date and is subject to availability. If the rescheduled order costs more, the difference is due under the normal payment terms. The credit is not redeemable for cash.

If the Customer Cancels Because of a Forecast

If the customer chooses to cancel or reschedule because of a weather forecast while Disco Party Rentals is still able to safely set up, the cancellation schedule in Section 2 and the change terms in Section 3 apply.

Deposits are not refunded in cash for weather-related cancellation or rescheduling.

Disco Party Rentals is not responsible for damage to rental items or property caused by weather, excessive heat, rain, wind, humidity, or other environmental conditions when the customer chooses to proceed with an outdoor event despite weather-related risks.

7. Outdoor Movie Screenings

  • For outdoor movie rentals, Disco Party Rentals supplies, delivers, sets up, and operates the screen, projector, sound system, and compatible playback connections. We do not select, provide, or license movies, shows, or other content.
  • The customer chooses the content and is responsible for having the rights to show it. Personal streaming subscriptions (such as Netflix, Disney+, or Hulu) and purchased or rented movies are generally licensed for personal, in-home viewing only.
  • Screenings for a community, organization, or the public, such as apartment communities, HOAs, schools, churches, parks, and businesses, generally require a public performance license, even when admission is free or attendance is limited to residents or members. The customer is responsible for obtaining any required license before the event.
  • Disco Party Rentals is not responsible for any claim, fee, or penalty arising from the content shown at the customer’s event.

8. Third-Party Vendors & Subcontractors

Disco Party Rentals may utilize independent contractors, subcontractors, wholesale rental companies, delivery companies, or other third-party vendors to fulfill portions of a customer’s booking.

These vendors may provide equipment, delivery, setup, pickup, or other services on behalf of Disco Party Rentals.

The use of a third-party vendor does not change the customer’s payment, cancellation, or other obligations under these Terms & Conditions.

9. Condition of Rental Items

All rental equipment is inspected and maintained before and after each rental.

Because rental items are used for multiple events, customers acknowledge that equipment may have normal signs of prior use, including minor marks, wear, or imperfections that do not materially affect the item’s intended use or appearance.

10. Limitation of Liability

To the fullest extent permitted by applicable law, Disco Party Rentals and its owners, employees, contractors, subcontractors, and affiliates shall not be liable for indirect, incidental, special, or consequential damages arising from the rental or use of equipment, products, or services.

The customer assumes responsibility for the safe and proper use of rented equipment and agrees to follow all applicable safety instructions and reasonable directions provided by Disco Party Rentals.

Nothing in these Terms & Conditions is intended to waive or limit any liability that cannot legally be waived or limited under applicable law.

11. Acceptance of Terms

By submitting the required deposit, the customer confirms that they have read, understood, and agreed to all Terms & Conditions stated herein.

The customer’s deposit constitutes acceptance of these Terms & Conditions and officially reserves the customer’s event date and requested rental items/services, subject to the policies stated above.
